How to set up business email in Outlook

Outlook needs the mailbox host, the full email address as the username, and the mailbox password. Use IMAP on port 993 with SSL, or POP3 on port 995 with SSL. Send through SMTP on port 587 with STARTTLS, or port 465 with SSL. Skip port 25. If a certificate warns, copy the hostname from the panel.

Which IMAP, POP3, and SMTP server settings do you need before opening Outlook?

Write down the host, ports and username before you open Outlook. The username is the full address, not the part before @. Prefer IMAP if you also read mail on a phone, because mail stays on the server. POP3 versus IMAP explains that split. What SMTP does is only the send path.

DirectionProtocolHostPortSecurity
IncomingIMAPmail.yourdomain.com993SSL/TLS
IncomingPOP3mail.yourdomain.com995SSL/TLS
OutgoingSMTPmail.yourdomain.com587STARTTLS
OutgoingSMTPmail.yourdomain.com465SSL/TLS

Replace mail.yourdomain.com with the hostname from the panel's mail-client or Connect Devices list when the certificate name must match. The username is the full mailbox. The password is the mailbox password. Leave port 25 and port 110 unused.

How do you add a custom domain business email account in Outlook for Windows?

In Outlook for Windows, add the address and choose manual setup if Microsoft assumes Microsoft 365. Pick IMAP. Incoming is port 993 with SSL. Outgoing is port 587 with STARTTLS, or 465 with SSL. Turn SMTP authentication on. Send a test to an outside inbox and confirm the reply lands in the same mailbox.

  1. Open Outlook, choose File, then Add Account. Enter the full address.
  2. If Outlook offers only Microsoft 365, choose manual or advanced setup and pick IMAP.
  3. Incoming server: the hostname from the panel, port 993, encryption SSL/TLS. Username is the full address.
  4. Outgoing server: the same host, port 587 with STARTTLS or port 465 with SSL. Tick authentication, and use the same username and password.
  5. Send a message to an outside inbox. Reply to it. Both copies should show in this mailbox, not only on the phone.

How do you configure business email in Outlook for Mac?

Outlook for Mac uses the same hosts and ports as Windows. Add the account from Outlook settings, choose IMAP rather than Microsoft 365, and enter the full address as the username on both incoming and outgoing servers. If the certificate warning names a different host, replace mail.yourdomain.com with the hostname printed in the panel, and keep the port.

  1. Open Outlook, then Settings or Preferences, then Accounts, then Add Account.
  2. Enter the full address. Choose IMAP if the wizard assumes Microsoft 365.
  3. Incoming: panel hostname, port 993, SSL. Username is the full address. Password is the mailbox password.
  4. Outgoing: same host, port 587 with STARTTLS or port 465 with SSL, authentication on, same username.
  5. Send a test. A certificate warning means the host string is wrong. Change the host, not the port.

How do you set up your work email on the Outlook iOS and Android mobile apps?

The Outlook phone app is not Apple Mail or the phone's other mail app. Add the account in Outlook, open advanced settings, and enter IMAP on port 993 and SMTP on 587 or 465. Apple Mail and Android's non-Outlook app have their own guides. Use those only when you are not configuring Outlook.

  1. Install Microsoft Outlook. Add account, and type the full address.
  2. Skip Google and Microsoft 365 if those are not the mailbox. Open advanced setup or IMAP.
  3. Incoming host from the panel, port 993, SSL. Username is the full address.
  4. Outgoing host, port 587 with TLS or port 465 with SSL. Authentication on. Same password.
  5. Send a test to an outside address and confirm it does not show a via-another-domain warning.

Phone Mail that is not Outlook is a different path. Use iPhone webmail setup for Apple Mail, and Android webmail setup for the non-Outlook Android app.

How do you fix Outlook SMTP port 465/587 authentication and SSL certificate prompts?

Most send failures are port 25, a username that drops the domain, or SMTP authentication left off. A certificate prompt means the typed host is not the name on the certificate. Use port 587 with STARTTLS or 465 with SSL, and the panel hostname. Reading the same mailbox in Gmail is a separate setup.

What Outlook showsUsual causeFix
Send times outPort 25, which many Indian networks blockMove SMTP to 587 or 465
Authentication failedUsername is only the part before @, or SMTP auth is offFull address, authentication on, mailbox password
Certificate warningHost does not match the certificateUse the hostname from Connect Devices. Keep the port
Mail arrives, nothing sendsIncoming was saved, outgoing was notRe-enter SMTP with 587 STARTTLS or 465 SSL

If you would rather fetch the mailbox inside a browser, use webmail inside Gmail. That path is POP on port 995 plus the same SMTP ports. It is not an Outlook profile.
